Riveter Consulting Group is now hiring a Payroll Administrator in Menlo Park, CA. The Payroll Administrator will oversee the payroll functions for the company, ensuring pay is processed on time, accurately, and in compliance with government and state regulations.

Essential Functions and Responsibilities:

  • Manage the payroll process
  • Implement, maintain, and review payroll processing to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Prepare and maintain accurate records and reports of payroll transactions
  • Ensure compliance with federal, state, and local payroll, wage, and hourly employment laws and best practices
  • Identify and recommend updates to payroll accounting software, systems, and procedures
  • Review and verify timesheets, wage computations (including tax withholding, benefits deductions etc.); conduct final review of post-payroll journals
  • Track and maintain employee stipends and other additional allowances as needed
  • Track and reconcile leave balances (sick time / accrued vacation) for employees
  • Coordinate onboarding for new hires
  • Help with requests for information: verifications of employment, UI claims etc.
  • Answer employee payroll/HR questions and concerns
  • Breakdown payroll invoice amount by wages, benefits, employer charges, and department per pay period; record payroll figures accurately in the company accounting system
  • Perform other duties as assigned

Minimum Qualifications / Skills and Certifications:

  • Bachelor’s degree in accounting, business administration, or related field preferred
  • At least three to five years of related experience
  • Extensive knowledge of payroll functions, including preparation, balancing, internal control and payroll taxes
  • Familiarity with payroll processing software (i.e., ADP, TriNet, Paychex etc.)
  • Proficient with G Suite applications or related software
  • Able to work under pressure with constant deadlines and changing priorities while maintaining a calm demeanor
  • Excellent organizational skills and attention to detail
  • Strong analytical and problem-solving skills
  • Ability to handle sensitive and highly confidential issues with diplomacy and discretion
  • Ability to gracefully accept direct feedback
  • Longevity in past positions with excellent references from past employers
