Riveter Consulting Group is now hiring Executive Assistant/Personal Assistant in Beverly Hills

Responsibilities:

Meeting Coordination Personal and Professional

  • Manage multiple calendars
  • Drive complex meeting coordination with highly influential individuals, corporate company internal team
  • Prepare briefing documents for external meetings including bios and backgrounders on attendees/companies
  • Occasionally advance/setup rental properties

Time Management

  • Field and prioritize all requests for the Founders time
  • Obtain agendas/collateral in advance to help prioritize and determine length of meetings
  • Partner closely with the CEO on open operational matters and prioritize action items for the Founder organized by category in a shared document
  • Document and systematize your ongoing learnings on time-management preferences to streamline your communications and workflow with the Founder, and to communicate those preferences to others on the internal team as needed

Conferences + Events

  • Plan, organize, attend offsites for corporate team (internal)
  • Plan events, organize, attend for external clients associated with corporate events

General Tasks

  • Research
  • Create and implement organizational systems
  • Expense reports
  • Lunch and dinner reservations
  • Errands and one-off missions as needed
  • Proofreading correspondence and copy as needed
  • Book travel for Founder as needed

Personal & Work Assistance & Special Projects

  • Assist with errands
  • Drive principal as needed (car will be provided)
  • Implement systems improvements / efficiency in principal’s personal life
  • Schedule personal appointments (medical, dinners, exercise)
  • Pack/unpack principal for trips
  • Help with events (i.e. baby showers, birthday parties)
  • Manage shipping of personal items, travel bags, gifts, etc. in between properties
  • Work closely with primary principal’s Personal Sr. Assistant
  • Research latest health and exercise trends
  • Assist Personal Sr Assistant with tasks when the principal is traveling and requires less daily tasks
  • Drive to locations for events to drop personal items off in advance (i.e. Coachella, Burning Man)
  • Mail pick-up from PO Boxes (at least 2x a week – sometimes more depending on time of year)

Desired Characteristics and Qualifications:

  • Must have meticulous attention to detail and be highly organized
  • Able to successfully coordinate workflows with Personal Sr. Assistant and other staff members as needed
  • Doesn’t mind taking direction from Sr. Assistant or other team members
  • Tech savvy and fluent in Mac OS, Google Apps / Calendar / Drive / Sheets/ Docs and mobile technologies (Slack, Asana)
  • Team player who is comfortable with ambiguity
  • 4+ years experience as a Personal Assistant, Executive Assistant, Office Manager or similar role
  • Willingness to drive all types of vehicles (i.e. car, u-haul truck, van, SUV)
  • Clean driving record with CA driver’s license
  • Professional and personable with excellent people/verbal communication skills
  • Self-motivated; must work well independently and be self-directed
  • Must take a proactive and anticipatory approach; intuitive; predict what could go wrong and plan appropriately
  • Strong written skills; able to professionally represent principal in all written communications
  • Strong follow-up and follow-through
  • Strong attention to detail
  • Flexible and adaptable, available to work on-call and able to respond to emergencies
  • Diligent and dependable
  • Trustworthy and discreet
  • Willingness to roll up sleeves and get things done!

Things to Know About our Hiring Process:

  • Our hiring process can take time (3-6 months on average)
  • We require a background check and credit report check – run by our team
  • We require a skills/knowledge based test
  • We require a series of interviews with various employees, including hiring manager
  • We require meeting in a social setting as one of our “interviews” (i.e. coffee or happy hour)
  • Based on experience, the salary range can vary between $75,000-100,000
